How does it work?

  • Connect your systems within Planday.

  • Toggle on Employee details sync + Worked hours export.

  • Once shifts in Planday are approved, the worked hours export into QuickBooks Online automatically.

Set up your integration

  • Make sure you have Administrator access in Planday (all departments) with rights for integrations.
  • In Planday: Go to Settings → Integrations → QuickBooks Online → Click “Connect”, log into QuickBooks Online and authorise.
  • In Planday integration settings: Enable “Employee details” and “Export worked hours”. Ensure all employee records have required fields (city, postal code, state) for QuickBooks Payroll.
  • Map shift-types in Planday to your payroll structure (Salary codes) so overtime, normal hours, breaks are accurately classified.
  • Pilot the integration: approve a few shifts in Planday, check they appear in QuickBooks correctly, verify hours, pay items, overtime as expected.
  • Roll-out: Once confirmed, use the workflow for all payroll runs, monitor regularly and adjust mappings as needed.
